This notice explains how Tropical Landscaping Ltd ("we", "us", "our") uses personal data when you use our website at https://www.tropicallandscapingltd.com and when you contact us through it. It does not replace any separate privacy information or contracts that apply if you instruct us to carry out landscaping work - we will provide those as part of our business documentation.
1. Who is responsible for your data?
We are the data controller for personal data processed as described in this notice. Our contact details: Tropical Landscaping Ltd, 32 Vera Road, Rackheath, Norwich, NR13 6QP. For data protection queries: hello@tropicallandscapingltd.com or 07771 884331.
2. Legal framework
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, together with applicable regulations including the Privacy and Electronic Communications Regulations (PECR) where relevant to cookies and similar technologies. See our Cookie policy for cookies.
3. What data we collect (website)
Depending on how you use the site, we may process:
- Data you submit - e.g. name, email address, phone number, postcode, project details and any other information you type into our contact or quote forms.
- Technical data - e.g. IP address, browser type, device type, and general log information our hosting or security systems generate when you load pages.
- Cookie / storage data - e.g. your cookie consent choices stored locally on your device. Details are in the Cookie policy.
- Analytics data - only if you consent to analytics cookies; we will update the cookie policy if tools change.
We do not use your data for automated decision-making or profiling on this website.
4. Why we use your data and lawful bases
We process personal data on the following bases under UK GDPR Article 6:
- Legitimate interests - to respond to enquiries sent via the website, to keep our site secure, to fix errors, and to understand aggregate use of the site where allowed without intrusive tracking (and where you consent, via analytics cookies).
- Performance of a contract / steps at your request - if you go on to engage us, to take steps prior to entering a contract or to perform that contract (in line with the separate terms and documentation we agree with you).
- Consent - where we rely on consent (non-essential cookies, and any optional marketing if we offer it in future). You may withdraw consent at any time without affecting processing that was lawful before withdrawal.
- Legal obligation - where we must comply with law or regulators.
5. Recipients and processors
We use trusted service providers who process data on our instructions (processors), for example website hosting, email delivery for form notifications, and IT security. We require them to protect your data and only use it for the services they provide to us. We do not sell your personal data.
6. International transfers
Your data may be processed on systems located in the UK or the European Economic Area (EEA). If we transfer personal data outside the UK, we will ensure a valid transfer mechanism under UK law (for example the UK International Data Transfer Agreement / Addendum or adequacy regulations), as required.
7. How long we keep data
We keep personal data only as long as necessary for the purposes above. Enquiry and quote information submitted through the website is typically retained for up to 24 months after our last meaningful contact, unless a longer period is needed for legal, regulatory or accounting reasons.
